01

Use Teams Chat for quick, informal conversations

  1. Instruction 1: Teams Chat (direct messages) is best for: quick questions to a specific person or small group, informal back-and-forth conversations, sharing a link or file that does not need to be found by the whole team later.
  2. Instruction 2: Do not use chat for: important decisions that need a record, instructions you may need to reference later, or communications that include people outside the team.
  3. Instruction 3: Chat messages are not easily searchable by others and do not appear in a channel's shared history — use them as the digital equivalent of a tap on the shoulder.

Use Channel posts for team conversations and updates

  1. Instruction 1: A Teams channel post is best for: team-wide announcements, project updates, questions the whole team may benefit from reading, sharing files the team regularly accesses.
  2. Instruction 2: Channel posts are visible to all team members (for standard channels) and are preserved as a searchable record.
  3. Instruction 3: Use @mentions in channel posts to notify specific people (type @ followed by their name). Use @channel to notify all channel members.
  4. Instruction 4: Replies are threaded under the original post — this keeps conversations organised rather than scattered.
03

Use Email for formal, external, or documented communications

  1. Instruction 1: Email is best for: external communications (customers, suppliers, partners), formal decisions that require a written trail, messages that go to people outside Microsoft 365, and communications that need CC'd managers or a legal record.
  2. Instruction 2: Avoid using email for internal chit-chat or quick questions — Teams chat is faster and keeps inboxes cleaner.
  3. Instruction 3: Meeting invitations and calendar scheduling can happen in either Teams or Outlook — both create the same calendar entry.

Troubleshooting

I cannot find a conversation or file from weeks ago

Use the Search bar at the top of Teams to search for keywords. For files, also check the relevant SharePoint library directly (Teams Files tab > Open in SharePoint). Chat messages can be searched using the search bar with the filter set to Messages.

I am getting too many notifications from Teams channels

Right-click a channel you want to see less of and click Channel notifications > Off, or choose 'Mentions only'. You can also mute less important teams by clicking the three-dot next to the team name and selecting Mute.
