NZIA's Boardroom Gets a Teams Rooms Upgrade: Yealink A50 and One-Touch Meetings

The NZ Institute of Architects runs national board meetings, member forums, and committee sessions from their Auckland office. Optimyze replaced their legacy conferencing system with a Yealink A50 Teams Bar — eliminating the complexity and giving members a consistently professional remote experience.

A professional association like the NZ Institute of Architects has a particular set of meeting requirements. Board sessions bring together elected members from across the country. Committee meetings include external stakeholders and government representatives. Member forums can have dozens of participants joining from home studios, practices, and offices spread across Auckland, Wellington, and Christchurch.

For NZIA, the quality of remote meetings reflects the professionalism of the organisation itself. When their legacy conferencing system started showing its age — unreliable audio, patchy video, and a setup process that required staff support every time — Optimyze recommended a full Teams Rooms upgrade.

The Right Bar for a Full Boardroom

NZIA's primary meeting space is a formal boardroom seating up to twelve people. This is a different environment from a four-person huddle room — the camera needs to cover a longer table, audio needs to reach participants at the far end of the room, and the bar itself needs to project authority rather than look like a consumer device perched on a credenza.

Optimyze specified the Yealink A50 for this space. The A50 is Yealink's mid-range Teams Rooms bar designed for medium-to-large rooms: a 133° ultra-wide camera with 5x digital zoom and AI speaker-tracking, a dual-microphone array with an eight-metre pickup range, and 20W stereo output. In a twelve-seat boardroom, the A50 covers the full table without needing additional microphone pods.

Integration with Microsoft 365

NZIA already ran Microsoft 365 through Optimyze's managed IT service. The Teams Rooms deployment was a natural extension of that platform rather than a new system to manage. Optimyze provisioned a dedicated Teams Rooms resource account for the boardroom, enrolled the A50 in Intune, and connected it to the room's existing display.

Board members and committee chairs schedule meetings in Teams or Outlook as normal. The boardroom appears as a bookable room in the calendar. When participants walk in for a meeting, the room display shows the scheduled meeting and a single "Join" button. No PINs, no switching inputs, no dependency on a specific staff member knowing how the system works.

The Remote Experience

For NZIA, the most significant improvement was what remote members experienced. The A50's AI framing automatically follows the active speaker, so remote participants always see who is talking rather than a static wide shot of an empty boardroom end. The echo-cancellation and noise suppression built into Teams Rooms means remote participants hear the room clearly — without the echo that plagued their previous system when multiple people were talking.

National board meetings now run with the same reliability as an in-person session. Committee members who previously dialled in reluctantly now join video by default because the experience is worth it.

Managed and Monitored by Optimyze

The A50 is managed as part of NZIA's broader Microsoft 365 environment. Optimyze pushes firmware and Teams Rooms app updates centrally, monitors device health through the Teams Admin Centre, and includes room status in NZIA's monthly IT reporting. If the A50 reports a connectivity or peripheral issue overnight, Optimyze is alerted before anyone walks into the boardroom for an 8am meeting.

Conference room technology should be invisible — it should work so reliably that no one in the meeting is thinking about it. That's what a properly deployed Teams Rooms system delivers.
