How Optimyze Manages the Full IT Asset Lifecycle

Every device your business owns has a lifecycle — procurement, deployment, maintenance, and retirement. Managing each stage properly saves money, reduces risk, and keeps your team productive. Here's how Optimyze does it.

Every device your business owns has a lifecycle — and managing each stage properly saves money, reduces risk, and keeps your team productive. Left unmanaged, devices get purchased without a plan, deployed without documentation, patched inconsistently, and retired without being properly wiped. The result is cost overruns, security gaps, and compliance headaches. Here's how Optimyze manages the full asset lifecycle for its clients.

Stage 1 — Procurement & Onboarding

Good asset management starts before a device arrives. Optimyze advises on right-sized hardware for each role — not the cheapest device, not the most expensive, but the right fit for the user's workload and the organisation's standard build. Devices are sourced from trusted suppliers, configured to a standard build using Microsoft Intune and Autopilot, and added to the asset register on day one — before they reach the end user's desk.

Stage 2 — Deployment & User Assignment

Once a device is ready, Optimyze enrolls it in Microsoft Intune, applies endpoint protection (SentinelOne), and assigns it to a named user. The asset register records the serial number, purchase date, warranty expiry, and assigned user — so there is never any ambiguity about who has what, or when it needs replacing.

Stage 3 — Ongoing Monitoring & Maintenance

Devices don't stop needing attention once they're deployed. Optimyze's RMM (Remote Monitoring and Management) tooling monitors device health continuously — flagging performance issues, failed updates, and security alerts before they become problems. Patches are applied on schedule, warranty alerts are raised 90 days before expiry, and software licence counts are reviewed quarterly to ensure the business is paying only for what it uses.

Stage 4 — Secure Retirement & Disposal

When a device reaches end of life, it doesn't simply get wiped and donated. Optimyze follows a documented retirement process: devices are wiped to NIST standards before disposal, removed from the asset register, licences are reclaimed and reassigned, and a certificate of destruction is provided where required. There is no risk of sensitive business data leaving the organisation on a device that was assumed to be clean.

Why It Matters

A managed lifecycle means no surprise failures — Optimyze knows when devices are approaching end of life and plans replacements in advance. No orphaned licences — software is tracked from purchase to retirement. No unsecured old hardware leaving the business — every retirement is documented. For NZ businesses that need to demonstrate compliance, the asset register provides the evidence trail required by auditors and insurers.

"When we retire a device, it's wiped, documented, and accounted for. That's the standard every NZ business should expect."
