Dudley Creek Health: Reliable Multi-Site Calls and AI-Documented Patient Interactions with 3CX

Community health providers handle high volumes of patient calls across multiple sites with strict documentation requirements. Dudley Creek Health deployed 3CX to unify their locations, ensure no patient call goes unanswered, and automatically document clinical phone interactions.

Community healthcare is phone-intensive work. Patients call to book appointments, ask clinical questions, request repeat prescriptions, and coordinate referrals. The phone system isn't a peripheral tool — it's a primary point of contact between the practice and the people it serves. When it's unreliable, calls are missed, patients are frustrated, and clinical staff spend time on avoidable callbacks instead of patient care.

Dudley Creek Health operates across multiple sites and came to Optimyze with a telephony setup that had grown organically — different setups at different locations, inconsistent call handling, and no centralised visibility over call volumes or response rates. The 3CX deployment consolidated everything into one managed system.

Multi-Site Unified Phone System

The Dudley Creek Health 3CX system covers all locations under a single cloud PBX. Patients who call any Dudley Creek number reach the same system — and can be routed or transferred between locations seamlessly. Clinical coordinators at one site can see the availability of staff at other sites, enabling intelligent coordination of patient calls without the friction of intersite transfers going unanswered.

The auto-attendant was configured with time-based routing: during business hours, calls route to the relevant clinical team; outside business hours, callers are directed to a recorded after-hours message with clear guidance on reaching on-call services or emergency care as appropriate.

Patient Call Queues — No Call Left Unanswered

During peak morning call periods — when patients are booking appointments for the day — call volumes at Dudley Creek Health can overwhelm available reception staff. 3CX call queues mean callers wait in order rather than getting a busy signal. The queue plays hold music, announces their position, and routes the call to the next available receptionist automatically. Calls that would previously have been abandoned are now answered.

Queue reporting gives Dudley Creek Health's management team visibility into call volumes by time of day, answer rates, and average wait times — information that informs staffing decisions and helps optimise how reception resources are deployed across the day.

AI Transcription and the Privacy Act 2020

The NZ Privacy Act 2020 requires healthcare organisations to maintain accurate records of patient interactions, including how information is collected and communicated. AI call transcription in 3CX means that phone-based patient interactions — clinical advice given, appointment information confirmed, referral details discussed — are automatically documented with a time-stamped transcript attached to the call recording.

This doesn't replace clinical notes, but it provides an accurate, searchable record of the phone conversation that complements the clinical file. For quality management and any privacy-related enquiry, the call transcript is available without anyone needing to listen through a recording manually.

Patient calls are your most direct line of contact with the people you serve. A phone system that misses calls, can't transfer between sites, and leaves no record of the conversation isn't fit for a modern healthcare provider.
