Running a Multi-Site Business? Here's How 3CX Handles Your Phone System

Separate phone systems at each office, expensive intersite calls, no visibility across locations — this is the reality for most NZ businesses operating multiple sites. 3CX replaces all of it with one cloud PBX that treats every location as part of the same system.

Most businesses that grow beyond a single office end up with a telephony problem. The first office has a PBX. The second office gets its own PBX — or a basic VoIP setup — because connecting two separate hardware systems is complex and expensive. By the time there are three or four locations, the phone setup is a patchwork: different systems, different numbers, staff at one site with no visibility over availability at others, and intersite calls either going via the public network (and being charged accordingly) or not working at all.

3CX was designed to solve exactly this problem. It's a single cloud phone system that can support any number of sites without separate hardware at each location — because there's no hardware at any location. The PBX lives in the cloud and all sites connect to it over the internet.

One Dial Plan for Every Location

In a 3CX multi-site deployment, every extension at every location sits on the same dial plan. Extension 101 in the Auckland office and extension 201 in the Wellington office are both on the same system. A receptionist in Auckland can see the presence status of staff in Wellington, transfer a call to them directly, set up a three-way call across sites, or use the intercom feature — all within the same console they use for every other call.

Intersite calls — calls between extensions at different locations — are free. They're internal calls on the same system, not calls routed via the public phone network. For businesses that currently pay per-minute charges for Auckland-to-Wellington calls between their own offices, this alone often represents significant monthly savings.

Central Auto-Attendant with Location-Specific Routing

Rather than each site having its own auto-attendant and inbound number, 3CX supports a central auto-attendant that routes callers to the right location. For a business with three offices, the auto-attendant might offer: "For Auckland, press 1. For Wellington, press 2. For Hamilton, press 3." Each location can also have its own direct number that rings its local team directly, while still being part of the same system.

After-hours routing, holiday routing, and overflow routing (if Auckland is busy, route to Wellington) are all configured centrally and apply across all sites — not managed separately at each location.

Centralised Management and Reporting

With separate phone systems at each site, getting a picture of overall call volumes across the business means collating reports from multiple systems — or not bothering, because it's too difficult. 3CX provides centralised reporting across all sites in a single dashboard: total call volumes, answer rates, queue performance, and agent statistics across the whole business.

Adding a new user at any location is done once in the 3CX admin console. Their extension is immediately accessible from any site. There's no per-location administration — one system, one management interface, regardless of how many locations are on it.

Adding a New Site

When a multi-site 3CX customer opens a new location, adding it to the phone system doesn't require new hardware or a separate deployment project. Optimyze provisions the new site's extensions in the existing 3CX system, configures any new DDI numbers needed, and deploys softphones or desk phones to the new location. The new site is part of the same dial plan, the same auto-attendant, and the same reporting — because it's on the same system.

If your business operates multiple locations, your phone system should behave as if you're all in the same building. 3CX makes that the default, not an expensive add-on.
