Your business number should reach your team wherever they're working — not just at their desk. The 3CX mobile softphone app turns any smartphone into a full office extension. Here's how it works and why it matters for NZ businesses with mobile or remote staff.
The assumption that staff are reachable at a desk phone during business hours stopped being reliable years ago. Remote work, flexible arrangements, site visits, client meetings, and travel mean a significant portion of any business's working hours happen away from the office. A desk phone handles none of this. A mobile softphone handles all of it.
The 3CX mobile app is available for iOS and Android and functions as a full office extension on any smartphone. Here's a detailed breakdown of what it does and how it behaves.
Inbound Calls
When a call comes in to a staff member's extension — whether someone dialled their direct number or transferred a call to them — the 3CX app rings on their mobile as a push notification. They answer it like a normal phone call. The caller has no indication of whether the call was answered on a desk phone or a mobile app — the experience is identical from their perspective.
If the staff member is already on a call, the 3CX app shows the incoming call and allows them to place the current call on hold, reject the new call, or send it to voicemail — the same options available on a desk phone.
Outbound Calls
Calls made from the 3CX mobile app present the business's DDI number — not the personal mobile number of the staff member making the call. The recipient sees the business number. This matters for two reasons: it maintains the professional presentation of the business on outbound calls, and it means clients call the business number (not the personal mobile) when they call back.
Outbound calls through the 3CX app route through the business's SIP trunk — using the same carrier and call rates as calls made from a desk phone. There's no separate per-minute charge for mobile app calls.
Transfers, Hold, and Conference
The 3CX mobile app supports the full range of call handling features: blind transfer (send the call to another extension immediately), attended transfer (announce the call before connecting), hold, conference calls, and call parking. Staff working from the mobile app can handle calls with the same capability as staff at a desk — transferring to a colleague, putting a call on hold to check information, or conferencing in a third party.
Presence and Status
The mobile app shows the presence status of colleagues — Available, On a Call, Away, Do Not Disturb — so staff know whether a transfer will connect or go to voicemail. Staff can also set their own status from the mobile app, letting the team know when they're in a meeting or unavailable.
When a staff member is using the mobile app, their presence shows as "On a Call" to colleagues in the same way as a desk phone call. The system doesn't distinguish between device types — all presence is unified across desk phones, desktop apps, and mobile apps.
When It Makes the Most Difference
The 3CX mobile softphone delivers the most value for businesses where staff regularly work away from their desk. This includes: professional services firms where partners work at client sites, healthcare providers with clinical staff working across multiple locations, field service businesses with technicians who are rarely at a desk, and any business with a hybrid or remote working arrangement. For these businesses, the mobile softphone isn't a convenience feature — it's the primary way most calls happen.
A phone system that only works when your team is at their desk isn't a phone system for the way modern businesses actually work. The 3CX mobile app makes the office phone go wherever your team goes.
